I'd like to add to that, some places are really apples-retentive or just plain dumb, and ask for things that you can't really provide (like exact headcounts a month in advance) or insist on charging per-person or something. Those places suck, and if you're in a decent sized city you can surely find a suitable location that you don't have to pay to reserve. (or at least, a place that you can easily cover the costs of yourself)
