One of us (either myself, Ika, Darcy, etc.) call them at about 5PM saying that we'd like to use the party room at 6:30 or something for whatever amount of ponies and they'll set it up to accommodate us. If the party room is already used, they'll set us up on a supertable or something. And that's that! I'll also be posting another doc soon as a sign-up sheet so we can give 'em a rough estimate of how many to expect.
